Productivity without chaos
Microsoft 365 and cloud services organised around your business.
We create a secure, predictable environment for email, files, meetings and access to business data.
Solution scope
Technology fitted to the situation, not the other way around.
Every project begins with the goal and the existing environment. This keeps the scope clear and the investment commercially justified.
Inventory of existing email, accounts, data and licences
Microsoft 365 deployment or clean-up
Exchange Online, Teams, SharePoint and OneDrive
Access policies, MFA and account security
Cloud data backup within the agreed scope
User, licence and support administration
Applications in practice
What Microsoft 365 applications do and when to use them.
Microsoft 365 is not a single program. It is a set of connected applications and services that work best when each has a clear role. Application availability, desktop versions and features depend on the subscribed plan, add-ons, region and Microsoft’s current terms.
Email and calendar
Outlook and Exchange Online
Support business email, calendars, contacts, appointment scheduling and shared mailboxes.
An Outlook invitation can open a Teams meeting, while an email can contain a link to a file in OneDrive or SharePoint.
Conversations and meetings
Microsoft Teams
Combines chat, team channels, online meetings, calls and quick access to files and applications connected with a project.
A team can discuss work in Teams while using files held in SharePoint and tasks managed in Planner.
Personal work files
OneDrive
Provides an individual employee workspace for storing, synchronising and securely sharing business files.
A document started in OneDrive can be co-authored in Word and later moved to the appropriate SharePoint library when it becomes team content.
Team files and intranet
SharePoint
Organises shared documents, libraries, lists, information pages and organisational knowledge with versions and permissions.
Teams channel files are stored in SharePoint, while the OneDrive application can synchronise selected libraries with a computer.
Text documents
Word
Supports proposals, agreements, instructions, reports and other text documents, including co-authoring.
A Word file stored in OneDrive or SharePoint can be edited together and shared as a link instead of another email attachment.
Data and calculations
Excel
Supports registers, calculations, models and data analysis. It does not replace a proper database or business system.
Forms responses can be analysed in Excel, with structured data later used in a report or — with appropriate licensing — in Power BI.
Presentations
PowerPoint
Supports sales presentations, training materials, project summaries and management briefings.
A chart from Excel and conclusions from Word can be used in a presentation stored in SharePoint and discussed in Teams.
Tasks
Planner and To Do
Planner organises team tasks, while To Do helps an individual manage personal work and tasks assigned to them.
A task discussed in Teams can be added to a Planner plan and appear in the assigned person’s daily task view.
Forms
Microsoft Forms
Supports surveys, request forms, quizzes and simple data collection without building a separate application.
A response can be stored for analysis, while Power Automate can notify a team in Teams or start an agreed workflow.
Notes and co-creation
OneNote and Microsoft Loop
OneNote provides an organised notebook, while Loop supports shared, continuously updated components and workspaces.
Meeting notes can remain in OneNote, while a shared Loop action list can be updated without copying it into successive messages.
Automation
Power Automate
Connects events and actions between services, for example a form, approval, notification, data record or task creation.
After a Forms submission, a flow can create a task, store data and notify the team — after permissions, ownership and error handling are agreed.
Analytics and AI assistance
Power BI and Microsoft Copilot
Power BI supports reporting and analysis, while Copilot can assist with content and information. Capabilities depend on licensing, configuration and data permissions.
Sources, access and data quality must be organised first; an AI tool should not replace accountable human decisions.
Connected work
How applications can work together in one process.
The greatest value appears when the team knows where to communicate, where to keep files and how to move from information to completed work.
Project delivery
- Meeting and decisions in Teams
- Tasks and ownership in Planner
- Team documents in SharePoint
- Content work in Word, Excel or PowerPoint
Form and approval
- A request collected in Forms
- Data stored in an agreed location
- Power Automate starts a notification or approval
- Status reaches the responsible person in Teams or Outlook
Proposal collaboration
- Draft prepared in Word
- Calculation created in Excel
- Shared version stored in SharePoint
- A link sent through Outlook instead of multiple attachments
Management information
- Data from agreed sources
- Organisation and analysis in Excel or Power BI
- Discussion and decision during a Teams meeting
- Post-decision tasks recorded in Planner
Control and accountability
Data, accounts and decisions remain under the customer’s control.
Microsoft 365 is a tool, not an automatic solution to every access and information-protection issue. Safeguards are selected for the environment and the parties’ responsibilities.
- 01The tenant, domains and accounts should remain owned and controlled by the customer organisation.
- 02Administrative access is limited to what is necessary, based on named accounts and protected with MFA.
- 03Microsoft 365 does not replace a complete backup; retention and backup are agreed separately for specific data.
- 04Licences, paid add-ons and their availability are confirmed individually before a proposal is issued.
How the work proceeds
Migration with a plan, not a leap into the unknown.
Before making changes, we establish what is to be moved, who makes decisions and how daily operations are protected. The schedule and risks depend on the current environment.
- 01
Discovery
We review domains, accounts, licences, data, devices and dependencies on other systems.
- 02
Scope design
We agree the target setup, access rules, security approach and sequence of changes.
- 03
Pilot and migration
We move agreed elements in stages. Changes that may affect day-to-day work are carried out at a pre-agreed time.
- 04
Stabilisation
We verify essential operation, organise access and help the team work safely in the new environment.
Clear boundaries
What we agree before work begins.
Environment and data
Users, domains, email, files, teams, devices, data volume and dependencies included in the planned work.
Protection and accountability
Expected protection level, administrative access, backup, decision-makers and responsibility after completion.
Separate agreement required
Licence purchase, unusual integrations, extensive archives, industry systems and work requiring a separate project or vendor participation.
FAQ
Questions to address before a Microsoft 365 migration.
The important answers are agreed before work begins because the environment determines the order, cost and risk of change.
Can email migration take place without interrupting work?+
The migration plan is designed to minimise operational impact, but we do not make a blanket no-downtime promise. Before work begins, we assess domains, mailbox count, data volume, devices and dependencies, then schedule potentially disruptive actions at an agreed time.
Is Microsoft 365 a backup?+
No. Built-in retention and recovery features do not automatically replace an independent backup strategy. Backup scope, retention period and restoration responsibility are selected separately.
Who owns the tenant and domain?+
As a rule, the tenant, domains, billing accounts and data should remain under the customer’s control. Sigma Vision receives only the agreed, named and limited access necessary to perform the work.
Can existing Microsoft 365 licences be used?+
We first review their edition, assignment, terms and the team’s actual needs. The possibility of using, changing or purchasing licences is confirmed individually before a proposal is issued.
A safe decision
First, we check whether it makes sense.
The first conversation does not commit you to a purchase. We understand the situation, identify the key risks and propose a next step at the right scale.
